Thank you for registering for BMW GGC's Autocross Event.

This e-mail contains a lot of information about your registration and the specific event you will be attending. We ask that everyone read it in its entirety, especially those of you joining us for your first time.

WAITLIST

Anyone registering after we've reached our maximum capacity will automatically be placed on the waitlist. As spots free up, we will move people from the waitlist in the order you registered. Everyone will be notified of their status after the close of registration. You may check your status at any time by logging in to Motorsportreg.com and looking at your event dashboard. If you wish to be taken off the waitlist, please cancel your registration.

We sometimes get late cancelations and if you're next on the waitlist, you could be moved to the confirmed list.

CANCELATION POLICY

You must cancel before the close of registration. To cancel, simply navigate to your Event Dashboard at motorsportreg.com and click the Cancel Registration link.

A $35 cancelation fee will be charged for any cancellation after registration and prior to close of registration. You will receive a credit for the difference you paid shortly after the event date. If you cancel AFTER the close of registration, or you do not show up, no refund or credit will be given.

BMWCCA memberships purchased through this registration process will be forwarded to National on your behalf before the close of registration. If you cancel your registration, no refund or credit will be given for your BMWCCA membership purchase.

You will be charged when placed on the waitlist. If a spot does not free up for you, we will credit your account for the full amount you paid - minus your BMW CCA membership purchase if you added one.

LATE CANCELATIONS or NO SHOWS

We recognize life happens, but for our events to run smoothly and safely, we require all who commit to attend to show up to the event. If you decide you cannot make it, please do us the courtesy and cancel or notify us that you will not attend.

SPECTATORS & GUESTS
Accompanies spectators or guests are welcome, but be aware that all guests must:

register for the event as a spectator.
sign the electronic waiver (or present a properly executed minor waiver if under 18) and obtain a wristband.
attend the mandatory morning safety meeting at the trailer.
honor all GGC guidelines outlined in this e-mail and anything additional that’s explained during the morning meeting.
Under no circumstances are guests or spectators persons allowed to drive during the event. Proxy drivers are not allowed to participate in the event.

RELEASE OF LIABILITY WAIVERS

Every person attending the event, drivers and guests, must sign the electronic waiver to obtain a wristband and gain entrance to the site. You should do this before arriving at the event by visiting https://bmwautocross.speedwaiver.com/. If you do not take care of this in advance, you will be required to do so before entering the gate. If you can't do this for any reason, you won't be permitted to enter and no refund will be given.

If you are under 18, or are bringing someone with you who is, you will need to have the following waiver completely filled out, and signed by your parents IN ADVANCE. Instructions and documents are in the linked PDF.

If the instructions are not followed explicitly, we cannot accept the waiver and you will not be able to attend. If we have to turn you away, no refunds or credits will be issued.

COVID SAFETY

If you have any COVID-19 symptoms, please contact the event staff and refrain from attending the event.
COVID-19 policy is based on currently available information and the policy may change at the time of the event based on prevailing public health recommendations.

EVENT INFORMATION

Please arrive and be checked in by 8:30am or you will not drive. If you're late, you will not be allowed in and no refund will be granted - no exceptions.

<<<<< AFTER GATE ENTRY >>>>>
1) PARK your car in the paddock area only. DO NOT PARK anywhere other than the paddock. Only autocross staff can park near the trailer. TRAILERS: If you hauled your car with a trailer, please be considerate of traffic flow when parking.

2) GET A TECH INSPECTION
OPEN your hood and trunk and UNLOCK your doors. REMOVE loose items from your interior. This will allow our techs to inspect your car and place a tech inspection sticker dot on your windshield. If you did not get a sticker before the 8:30am meeting, go to the trailer to request a tech inspection immediately.

*** TECH INSPECTION CHECKLIST
Verify all of the following conditions are met before arriving at the event. Our tech inspectors will check your car and put a sticker on your windshield to indicate it passed. If your car does not pass, you will not be allowed to drive it and no refund will be given.

1. BATTERY IS SECURELY MOUNTED – THIS IS OUR #1 REASON FOR FAILURE! No bungee cords, wire ties, or other makeshift solutions will be accepted
2. Wheels are safely attached and exhibit no cracks. Wheel nuts/bolts are tightened to the manufacturer’s recommended torque value
3. If aftermarket wheel studs are used, each wheel stud must be at least flush with the outer-most surface of the wheel nut when the nut is affixed by fingers and before any wheel nut is torqued to the manufacturer’s recommended value
4. All loose items are removed from the vehicle. If a video camera is employed, it is securely mounted. If your floor mats are not secured with Velcro or snaps, remove them
5. Tires show no cords, belts, or cracks in the tread or sidewall
6. Seat belts and/or harnesses are properly installed and in good condition
7. Brakes are in good working order, have no leaks under pressure, and have adequate fluid in the master cylinder
8. No fluid leaks (fuel, oil, coolant, power steering fluid, transmission and differential fluids, brake fluid) are present while the vehicle’s engine is running
9. Wheel bearings, steering mechanism, suspension, and shocks are in good operating condition
10. The exhaust is in good working order
11. Closed-toed shoes are mandatory for drivers. No open-toed shoes, sandals or “flip-flops” are allowed on course
12. Roll bars, if installed, are properly and securely mounted

3) CHECK-IN AT TRAILER
If you don't reach the check-in trailer before 08:15am, you will not drive and no refund will be given.

-- Check Your Helmet (Snell 2015 or newer):
If you do not have a GGC 2025 inspection sticker on your Snell approved helmet, bring it to the registration trailer for inspection by a team member when you come to get your run sticker.

If your helmet does not pass inspection (or you don’t have access to one) you will not be permitted to drive or ride at this event. We have a limited number of loaner helmets available for a fee.

-- Get Your Run Group Sticker:
When you receive your run group sticker, verify all of the information is correct.

-- Check Your Run Group & Work Assignment
Review the run group/worker assignment sheets posted on the outside of the trailer. Example: If your run group sticker reads “RG1”, locate the “Run Group 1” sheet and find your name and worker assignment. The top of the sheet will say “Run 1st, Work 2nd”. If it says “RG2” then locate the “Run Group 2” sheet. If it says “RG3” then, you guessed it, locate the “Run Group 3” sheet. The run group indicated on your sticker is WHEN YOU DRIVE.

NOTE: Every participant (except those 65 and older) is required to work one session. If you skip out without doing your worker assignment, you will not be allowed to attend future events.

Most of you will be a “COURSE WORKER” on the live course, where you should:

1. Keep an eye on the nearest car at all times. Never turn your back to a moving car!
2. QUICKLY pick up cones that have fallen. Put them back in the chalked lines. Cars are approaching so you must be fast!
3. Use the radio to call in a car hitting one or more cones. Press button first, then say for example: “Control. Cone station one, car number 54, two cones”. Get confirmation radio response. Pointer cones (already tipped over) do NOT count.
4. Wave a red flag if there is imminent danger of an upcoming car colliding with another cone worker or car that is stopped. Don't wave it for every cone.
5. Support each other, one can radio, one can flag, both should run to fix cones. You can help other stations also if they miss a cone!
6. Listen to the announcer. You may be instructed to fix a cone you missed, or wave a red flag, etc.
7. Avoid timing sensors and antennas. Crossing the timing boxes at start and finish will throw all the times off. Please avoid walking between them.
8. Potty breaks are allowed, but please request backup before leaving your post. NEVER LEAVE YOUR PARTNER ALONE ON COURSE!

PLEASE check in at the trailer well ahead of your work group. You will get a yellow reflective vest and brief instructions. Be prepared with sunscreen, appropriate clothing, and water. You will be out on course for 2 hours, so hit the potty before your session. The sooner you report, the more likely everyone gets more run time. If you have questions please ask!

4) PREPARE YOUR CAR
-- Install Your Run Group Sticker
Place your run sticker on the outside of your car’s windshield in the top/left corner, driver side. If you are a two-driver car, install both stickers one above the other.

-- Tires and Fuel
Inflate your ties to approximately 35psi if possible. Other autocrossers may have air pumps around and can share advice about where to set your pressures. For safety, you will want to check your pressures after each run until it stabilizes.

Make sure you have enough fuel to complete your runs and get to a gas station when you leave the event.

5) PREPARE YOURSELF
Hydrate, hydrate, hydrate! Drink plenty of water throughout the day to ensure you’re sharp and focused. Free beverages are located in the coolers behind the trailer. Weather at Crows Landing varies greatly throughout the day. Protect yourself from sun exposure, cold, heat, wind, flying debris, and farm equipment. Use sunscreen, hat, layers, lawn chairs, snacks, etc.

6) ATTEND 8:30am MEETING AT TRAILER – MANDATORY!!!!!!!
We’ll review important site and safety information and give an overview of how the day will proceed. Your undivided attention is required. EVERYONE ON SITE MUST ATTEND THIS MEETING! This means spectators and guests too! Start walking to the trailer at 8:20 if you are not already there.

7) WALK and CHALK the COURSE
After the 8:30am meeting, walk the course to get familiar with the turns. You can join the course designer who will give you tips on how to drive the course. Everyone should grab a piece of chalk at the start and make sure all cones have a chalk box around them to mark their position. Please do not move any cones during the course walk, and try to chalk close to the cone edges.

<<<<< WHEN YOU DRIVE >>>>>
When it's your run group's time to drive, listen for the announcer to invite you to the pre-grid area.

-- Pre-Grid
We are using a chevron formation for pre-grid. Park your car in the next available slot and remember the spot so you may return to it. You should be facing the starting gate at an angle between two cones. Two driver cars should park at the front of the grid where the double cones are. The Pre-Grid worker will help direct you where you should park.

Before you’re allowed to enter the course, the Pre-Grid worker will verify your inspection sticker, run group, helmet inspection sticker (on all in the car) and that everyone in your vehicle has seat belts on.

-- Driver Coaches
A limited number of Driver coaches will be available, but you may ask others to ride along with you if you like. Who you take and who you ride with is entirely up to you and at your own risk.

-- Start line
The pre-grid worker will tell you when to proceed to the start line for your run. Get your car positioned and wait for the starter to wave the green flag, and then go for it!

-- On course
Your goal is to complete the course as fast as possible without knocking any cones over or getting a "DNF" (Did Not Finish) by cutting corners. Autocross is a test of car control and smoothness, not brute force or heavy drifting. Smooth = FAST. Keep your eyes up and look ahead. Review the map after each run. If you are getting lost, see Driver Coach section. Note: if you see waving red flags, you must stop IMMEDIATELY on course until you are signaled to continue. PLEASE DO NOT DRIVE OFF MID-COURSE WITHOUT FINISHING THE COURSE. Times will be ruined!

-- After the checkered flag
After completing your run, SLOW down to get your time-slip from the worker and return to your same spot within the pre-grid. After your last run, please return to the paddock area, not the pre-grid and not near the trailer.

<<<<< WHEN YOU ARE NOT DRIVING OR WORKING >>>>>
-- Watch and listen for where others brake, throttle, and squeal tires. Your ears can tell you TONS.

-- Talk with others. Especially those who have just driven the course.

0700: Staff and equipment arrive on site
0715: Donuts and coffee are consumed, course setup begins, tech inspections begin
0730: Trailer check-in opens
0815: GATE and Check-in close
0830: Mandatory Meeting - ALL ON SITE MUST ATTEND
0900: Course walk
0930: Run Group 1 - Session 1
1045: Run Group 2 - Session 1
1200: Lunch
1245: Run Group 1 - Session 2
1415: Run Group 2 - Session 2
1600: Site Cleanup and pack equipment trailer (volunteers needed!)
1700: Site closes

BREAK FOR LUNCH
We will have a ~45 minute lunch break. For those who registered with a lunch order, please use a pen to check your name off the sandwich list and pick the same sandwich you ordered (don’t swap). For those who did not order lunch during registration, please don’t take one (or else a person who paid will go hungry). If you do not find your name on the sandwich list, you did not order a sandwich. If you choose to drive out to buy lunch, make sure you are back in time for your work or run session and have a wristband for re-entry. It is recommended to pack a lunch.

SPECTATORS & GUESTS:  Accompanied guests are welcome at the event, but registered participants are responsible for ensuring their guest(s) honor all GGC guidelines.

-- Spectator Areas
We provide only TWO safe areas for spectating: The paddock and the area around the trailer outlined with lime green cones. You may not stand or spectate anywhere else on site. Do not stand/congregate/set up chairs/tripods in the pre-grid area or anywhere near the course. Do not stand in any "No Parking/No Standing" zone. Failure to comply with these rules will get you ejected from the event and you may be black-listed from attending any future events.

PHOTOS & VIDEOS
The BMWCCA is a private organization which requires all participants of our events to be members of the club. Since events are not open to the public and all activities that take place at our events are private, under no circumstances will we allow anyone to film or photograph any activity for commercial use. We welcome members to take photos to share with other members or for personal use only. If you have any questions about this policy, please contact the coordinators. Photography is only allowed in spectator areas described above. Small GoPro style video cameras are allowed if they are securely attached to the car.

TRASH & RECYCLING
PLEASE PICK UP YOUR OWN GARBAGE. We are solely responsible for collecting our trash and recyclable items. You will find bins near the trailer (GREEN BINS = TRASH. BLUE BIN = BOTTLES AND CANS).
